Modmail Bot Privacy Policy

This policy covers the booga.gg Modmail Discord bot. It is separate from the booga.gg website privacy policy, which covers the site itself.

1. What the Bot Does

Modmail is a ticketing system. It lets you contact our server staff by sending the bot a direct message, instead of messaging staff members one by one or pinging them in the server. Each conversation opens a private thread that only staff can see.

The bot runs the open source Modmail software.

2. Data We Store

Thread transcripts

The bot keeps a full transcript of every modmail thread. This includes the messages sent in the thread, links to any attachments, and the user ID, username, nickname, and display name of the user who contacted us (or was contacted) and of every staff member who took part.

Blocked users

The user ID and username of anyone blocked from contacting the bot.

Notes and snippets

The user ID of the author and the target of any staff note, and the user ID of the author of any saved reply snippet.

3. Why the Bot Needs This

Message content is read only in modmail threads and direct messages to the bot, so that your message reaches staff and a transcript can be saved when the thread closes.
Server member events are used to tell staff when the person in an open thread joins or leaves the server.

We do not sell this data, share it outside our staff team, or use it to train AI or machine learning models.

4. Data Retention

Thread transcripts are kept until they are manually deleted.
User IDs tied to notes are kept until the note is deleted.
User IDs tied to snippets are kept until the snippet is deleted.
Block entries are kept until the user is unblocked.

5. Your Choices

The bot only stores data about you if you message it, if staff contact you through it, or if staff save a note about you. If you do not want a transcript kept, you can reach staff another way instead.

6. Access and Deletion Requests

To request a copy of your data or ask for it to be deleted, email privacy@booga.gg and include your Discord user ID. We remove data by hand, so please allow a few days for a reply.

7. Changes

We may update this policy from time to time. The date below shows when it last changed.
